A college system that gets students out of the queue

For colleges, institutes and schools that run on records. Admissions, enrolment, fees, results and transcripts in one system, and a student portal that answers questions before they reach the office.

What you get

What changes when it's in place

  • Admissions and intake

Set up an intake, receive applications and move admitted students straight into records, without retyping a single name.

  • A portal students actually use

Students update their details, enrol for the semester, check fees, see results and download timetables from their phones.

  • Fees that explain themselves

Fee structures per programme, every charge labelled, payments recorded and arrears reported. Students can see exactly what they're paying for.

  • Marks, results and transcripts

Lecturers enter coursework and exam marks. Results are computed, retakes are flagged below the pass mark, and transcripts come out right the first time.

  • Exam clearance

Students are cleared to sit exams based on fees and requirements, with a list the invigilators can trust.

  • Roles and an audit trail

Each member of staff sees what their role allows. Every change is logged, so a corrected record can always be traced.

Bishop Willis Core PTC

Teacher training college

A college management system and student portal covering the whole student journey, from admission to transcript.

Before: Student records, enrolment, results and fees lived in separate files. Students queued at offices for answers a system should have given them in seconds, and staff rebuilt the same lists every semester.

How we work

How it usually goes

  1. Start with one semester's journey

We follow a student from admission to results with your registrar, bursar and heads of department, and write down every step.

  2. Capture current students first

We bring in current students and fee balances first, so the system is useful from the first week. Older records follow.

  3. Train each office

Registry, finance and lecturers each get hands-on sessions. Students get a short guide and a help desk for the first weeks.

  4. Add the rest when you're ready

Library, HR, procurement, stores, catering and alumni can come later, on the same records.

An honest fit

Is this right for you?

We'd rather tell you now than sell you something you don't need.

A good fit if

  • Students or parents queue at offices for information
  • Results, fees and records live in separate files
  • You want students to see their own fees and results
  • You need to know who changed a record, and when

Probably not yet if

  • You need something switched on tomorrow for a small school. A ready-made school app may be cheaper, and we'll say so

Questions

What people ask us

Something else on your mind? Ask us directly.

Can students use it on their phones?

Yes. The portal is designed for phones first, because that's what most students have.

Our old records are on paper. Where do we start?

With current students and their fee balances. We plan the data capture with you, and archive records can be added over time.

Can parents see fees and results?

It can be added. Tell us how you'd like it to work, and who should see what.

Does it cover the whole college, not just students?

It can. The system we built for Bishop Willis Core PTC also covers finance, HR, library, procurement, stores and more. Most colleges start with the student journey and grow from there.

Tell us what's slowing your team down.

Describe it in a few lines, the way you'd explain it to a colleague. We'll take it from there, with no sales calls and no obligation.
